How Yobot compares with the other ways to use AI.

Yobot builds AI into the work your business already does, and runs it for you. Here is how that compares with ChatGPT or Claude on your own, the new AI agent apps, and courses or consultants, including where the others are better than us.

Facts about OpenAI, Meta and Anthropic come from their own pages, read on 4 October 2026. See the sources.

Written for owner-led firms of about ten people: bookkeepers, brokers, conveyancers, installers and service businesses.

Sound familiar?

Most firms already use AI. Few have it running the work.

For an owner-led firm of about ten people, the usual story is the same. A few people use ChatGPT or Claude, each in their own way, and the work itself has not changed. Chasing clients, sorting the inbox and updating records still land on the same person.

Everyone uses it differently.

One person has good prompts, another has given up. Nothing is shared, so the firm does not get better at it.

It does not know how you do things.

Each chat starts without your rules, your clients or your history, so people explain the business again and again.

Nobody owns making it stick.

Setting AI up to run real work, and keeping it working as the business changes, is a job. In a small firm it has no owner.

Why Yobot

What Yobot does that the others leave to you.

  • We help your firm adopt AI, not just buy it. We interview your people, find the jobs worth handing over and build them into the way you already work. Nobody has to become the AI expert.
  • It works the shared inbox, not one person's. The chasing in a small firm comes through a shared inbox. Yobot works that inbox for the whole team and posts its drafts to the team chat.
  • Someone else builds it and keeps it running. Your admin person does not become the operator of a new AI tool. We build it, test every change and review it with you every month.
  • A Brain you can read, correct and keep. Everything your Yobot knows about your business is written down where you can read and fix it. It belongs to you from day one, and if we part ways you take the lot.
  • No lock-in to one lab. You choose the engine: Claude, ChatGPT (Codex), Grok or a local open model. If a provider doubles its price, you move and nothing breaks.

Fair to say

Where the others are better than us.

If one of these matters most to your firm, one of the lab products may suit you better than Yobot.

Price and speed to start.

ChatGPT and Claude are the quickest way for one person to start, and many people already know them. A dot comes with a ChatGPT Pro or Business Premium plan, and Claude's scheduled tasks are on every paid plan. Yobot takes up to a month to go live and is quoted per firm.

Depth of safety engineering.

The labs publish more safety machinery than we do: OpenAI's Auto-review and secure sign-in that keeps passwords away from the model, Meta's separate Sentinel agent, and Anthropic's classifiers that scan for prompt injection. Our published safeguards are approval on every send and testing before anything runs on its own.

Formal certifications.

ChatGPT's pricing page lists SOC 2 and ISO certifications as plan features, and ChatGPT Enterprise offers Australian data storage. Claude's Team and Enterprise plans list single sign-on and audit logs. Yobot does not hold those certifications.

Skills that stay with your people.

A good course or consultant builds AI skills inside your own team. Yobot does the building and running for you, so your team spends its time on the work instead.

The labs also make the engines. When your Yobot runs on Claude or Codex, it uses the same models as the lab's own products. What Yobot adds is the written Brain, the work on your shared inbox, the approval design and the people who build it and keep it running.

Your data

Your business data is stored in Australia.

We store your Brain and your business data in Australia, and they belong to you. When your Yobot uses a lab model such as Claude or Codex, each request is processed on that lab's servers. Jobs that run on a local open model are processed on our own hardware in Australia too. As published on 4 October 2026, neither OpenAI nor Anthropic offers Australian storage on their small-business plans.

Already running

Yobots already doing this work.

An Australian installation business had over ten thousand unclosed conversations in its shared support inbox. In under ten days the inbox was under control, with every reply drafted for the team's yes. Read the full story.

The detail

The AI agent apps, side by side.

OpenAI's Dots, Meta's Muse and Claude's scheduled tasks are the new agents that keep working in the background. Open a question to see Yobot's answer first, then what each company publishes.

What it does with a shared inbox
YobotWorks the firm's shared inbox for the whole team. At one Australian installation business it reads new email three times a day, connects each message to the related deal or support ticket, and posts one summary to the team chat with the replies and actions already drafted.
OpenAI DotsAn always-on agent with its own cloud computer that connects to over 4,000 apps and runs the checks you schedule. Your first dot connects your personal email account, and at launch it cannot have an email address of its own. Company-level specialist dots, which work across a company's systems, are enterprise pilots run with OpenAI.
Meta MuseA personal agent that can send email, book, fill in forms and negotiate, and keeps working after the app is closed. Muse for Small Business adds connectors for Instagram, Facebook Pages, Meta ad accounts and other business tools.
ClaudeHand over a task and it keeps running after you close your laptop. Scheduled tasks run in the cloud on all paid plans, through connected Gmail, Microsoft 365 and Slack. Anthropic's own example is a summary of your inbox every Monday morning. Each person sets up their own tasks.
Who sets it up and keeps it running
YobotWe do. We interview your people, go through your systems and write down how the business works as a Brain. Your Brain and agent are live in your team chat within a month at most, then we build the first job and run it for you, with every change tested, a nightly self-audit and a monthly review.
OpenAI DotsYou do. You create the dot in the ChatGPT desktop app, connect your apps, write its rules and review its activity.
Meta MuseYou do, from the Muse app with a Meta account.
ClaudeYou do. Each person writes their tasks, picks the schedule and reviews the results. Team admins control who has access.
Where your data is stored and processed
YobotWe store your Brain and your business data in Australia, and they belong to you. When your Yobot uses a lab model such as Claude or Codex, each request is processed on that lab's servers. When a job runs on a local open model, the processing stays on our own hardware in Australia as well.
OpenAI DotsOn OpenAI's cloud. Business workspaces are not used for training by default. Australian storage is offered to Enterprise, Edu and API customers; processing location choices are Europe, the US and the UAE. OpenAI's help pages say individual dot memories cannot currently be viewed or deleted one by one.
Meta MuseOn a dedicated virtual machine in Meta's cloud that Meta calls Muse Secure VM, kept apart from its ad systems, with a training opt-out. Meta's announcement does not mention an Australian option.
ClaudeOn Anthropic's servers. Team plans are not used for training by default. Anthropic's published location choices are global or US.
How sends are approved
YobotYour team approves every send. Each workflow is tested against real work before it runs on its own, and wider permissions only open when the results show they are safe, with your approval.
OpenAI DotsRules you set for each kind of action: act, act if pre-approved, ask first, or hand it back to you. A separate Auto-review checks each planned email, including who it goes to. Money transfers and password changes always come back to you.
Meta MuseA separate Sentinel agent has to approve anything that reaches the internet. Muse checks with you before sending an email or buying something, and keeps a complete audit trail.
ClaudeClaude asks before it acts by default, and an Auto mode screens each action. Anthropic's own guidance asks people to take care with scheduled tasks, because they run while you are away.
Can an Australian firm start today, and on what terms
YobotYes. Start with the free Discovery Agent, then a strategy call with Joe, where we scope your first job and quote it.
OpenAI DotsYes. Australia is a supported ChatGPT country, and your first dot is included in a ChatGPT Pro or Business Premium plan at no extra cost. Self-serve.
Meta MuseNot yet. Muse is rolling out in the US, and Muse for Small Business is available in the US and Canada.
ClaudeYes. Scheduled tasks are included on all paid Claude plans. Self-serve.

Fair questions

What owners ask us about the alternatives.

Is Yobot built on ChatGPT or Claude?

Yobot runs on the engine you choose. Today we run Claude, ChatGPT (Codex), Grok and local open models. The Brain, your data and the way your Yobot works stay the same if you switch.

Where is my data stored?

In Australia. We store your Brain and your business data here. When your Yobot uses a lab model such as Claude or Codex, each request is processed on that lab's servers. Jobs that run on a local open model are processed on our own hardware in Australia.

Could we just use ChatGPT, a dot or Claude ourselves?

Yes, and for one person's own work that may be all you need. The difference is who does the work: with a lab product your team writes the rules, connects each inbox and watches every run. With Yobot we build it around your shared inbox and run it for you.

Is Meta's Muse available in Australia?

Not as of 4 October 2026. Meta is rolling Muse out in the US, and Muse for Small Business is available in the US and Canada.

Will Yobot send anything without us?

No. To start, your team approves every send. Wider permissions only open when the results show they are safe, and only with your approval.

What does Yobot cost?

We scope your first job on the strategy call and quote it there, so you know exactly what gets built and what it costs before you commit.
